Privacy policy
Last updated 13 October 2026. VisitLog is operated by Web Mavens LLC.
Who this covers
VisitLog is used by a company (the "office") to keep a register of people who visit its premises. This policy covers the managers who hold an account, the security and staff members the office adds, and the visitors whose details are entered at the door.
What we collect
- Manager accounts: your email address and the name you enter. We sign you in by emailing a one-time code, so we do not hold a password for the app.
- Security and staff: the name, role and entry code the office assigns to each person.
- Visitors: the name, phone number, company, person being visited and purpose of visit that are typed into the entry form, the time of arrival and departure, and a photo if one is taken. The photo is optional.
- Comments: notes that managers, security or staff add to a visit, with the name of who wrote them.
- Notifications: a device token, if a manager allows notifications, so we can alert them to new visits and comments.
- Technical logs: standard server logs such as IP address and time of request, kept for security and troubleshooting.
The app does not collect location, contacts or an advertising identifier. The camera is used only when someone chooses to take a visitor photo.
How we use it
Only to run the service: to show the office its own visitor log, to send sign-in codes, and to alert the office's managers to visits and comments by notification and email. We do not sell data, show adverts or use data for advertising.
Who can see it
- The office that recorded the visit: its managers, and its security and staff after entering their code on an entry device. One office cannot see another office's log.
- Our service providers process data on our behalf: our hosting provider (storage and servers), Amazon Web Services (sending email), and Apple and Google (delivering notifications).
- Web Mavens staff may access data when needed to support a customer or keep the service running.
- We may disclose data if the law requires it.
If you are a visitor
The office you visited decides what is recorded and how long it is kept. To see, correct or remove your entry, ask that office. If you cannot reach them, write to us at [email protected] and we will pass your request on.
Security
The app connects to the service over HTTPS. Visitor photos are stored privately and are only served to the office they belong to.
Keeping and deleting data
We keep an office's data while it has an account. A manager can delete their account at any time from Settings in the app; see how account deletion works.
Children
VisitLog is a business tool and is not directed at children under 13.
